What's in the template
Each template has the fields a purchase order needs: your (buyer) details, the vendor's details, a PO number, order and delivery dates, an itemised table (description, quantity, unit price, amount), subtotal, tax and total, plus a delivery / terms line. The Excel version includes formulas so amounts and totals update as you fill it in.
How to use it
- Download the format you prefer (Excel for automatic totals).
- Replace the bracketed placeholders with your and the vendor's details.
- Add the items you're ordering; the Excel total updates automatically.
- Save as PDF (File → Save As / Export) and send it to the vendor.

Does the Excel template calculate totals?

What is the difference between a purchase order and an invoice?
A purchase order is sent by the buyer to order goods or services; an invoice is sent by the seller to request payment for them. The PO comes first.
Which format should I use?
