What's in the template

Each template has the fields a purchase order needs: your (buyer) details, the vendor's details, a PO number, order and delivery dates, an itemised table (description, quantity, unit price, amount), subtotal, tax and total, plus a delivery / terms line. The Excel version includes formulas so amounts and totals update as you fill it in.

How to use it

  1. Download the format you prefer (Excel for automatic totals).
  2. Replace the bracketed placeholders with your and the vendor's details.
  3. Add the items you're ordering; the Excel total updates automatically.
  4. Save as PDF (File → Save As / Export) and send it to the vendor.

Does the Excel template calculate totals?

Yes. The .xlsx has built-in formulas: each line's Amount = Qty × Unit price, and the Subtotal / Tax / Total update as you type.

What is the difference between a purchase order and an invoice?

A purchase order is sent by the buyer to order goods or services; an invoice is sent by the seller to request payment for them. The PO comes first.

Which format should I use?

Excel (.xlsx) for automatic totals, Word (.docx) for a document you type into, or CSV for a plain universal file. Or fill one in online with our purchase order generator.
